Free for 30 days, and no card needed. Answer ten questions and your checklist is ready.
It’s 08:00 and two inspectors are at your front desk. They ask for three months of fridge readings, the trolley’s expiry dates and last year’s complaints. Could you hand them over in five minutes?
PracticeVitals tells your team what to do each day, and tells you what got missed. So you can get back to your patients.
Always ready for an inspection
Proof, without the paper
Good habits that stick
Ready
Ready for inspection, every day of the year.
A team that runs on time
Fixed, renewed and on time
It grows with your practice
Inspectors ask for months of records, and you can’t go back and fill in a fridge log. Start today and the records build up while your team works.
What inspectors ask to see
Fall short, and you’ll get a compliance notice with deadlines. If the problems aren’t fixed, the OHSC can fine the practice or withdraw its certificate.
One reading was missed on the afternoon of Friday 9 October. PracticeVitals flagged it the same day, so it never became a habit.
Every measure becomes a small job with a clear deadline. One sign shows whether you’re ready today.
One sign shows Ready, At risk or Not ready. Underneath, a list tells you what to fix first.
Their phone shows today’s checks, from the fridge to the autoclave. There’s no app to download.

Every measure is in plain English, with your status next to it.

Answer ten questions about how you work. The measures that don’t apply drop away.

PracticeVitals shows which written procedures you need and what inspectors look for in each one. A procedure can’t be signed off until it covers every topic, and you’re warned two months before a review is due. Complaints work the same way: none can close until the outcome letter is on file.
Every screen on this page is the real app, showing a sample practice. The names and data are made up.
The everyday admin runs on the same phones as the checks. Your team has nothing new to learn.
Staff check in on their phones, or with a PIN at reception. At month end, you download everyone’s hours as a spreadsheet. Anyone who checks in away from the practice is flagged. We keep only the distance, never their location.

Staff ask for leave on their phone. You approve it with their balance in front of you. Balances build up and reset by themselves.
Report it with a photo and send your technician a link. They don’t need a login. Broken equipment stays on your readiness list until it’s fixed.
Keep your indemnity cover, HPCSA fees, insurance, lease and BHF practice number in one list. Each one is flagged before it’s due.
Give anyone a once-off or repeating job, like ordering gloves. It shows up on their phone. When a repeating job is done, the next one appears.
A set-up checklist ticks itself off as you go, and always shows the next step.
That’s about what you charge for one consultation. One plan covers the whole practice, with three logins included.

Staff who never log in, such as cleaners and locums, cost nothing. They can still check in at reception with a PIN.

Less than paper. Staff record each check as they do it, and you only look at what’s flagged.
If they can use WhatsApp, they can use PracticeVitals. They add it to their home screen once, and it opens like any other app. Each screen has big buttons and one check.
Keep it. PracticeVitals shows you what’s missing from it, keeps review dates on track, and makes sure the daily records actually get filled in.
You only pay once you add a card yourself. There’s no contract, so you can cancel at any time.
No, and nobody honest can promise that. PracticeVitals shows you every day what inspectors check and whether your records are in order. If a non-negotiable is failing, it shows Not ready.
No, we’re independent. PracticeVitals is built from the OHSC’s published GP inspection tool, version 1.1, and we update it when the OHSC revises the tool.
We keep patient details to a minimum. File audits use file numbers, and ID numbers are refused. The only name we keep is a complainant’s, because inspectors check that each one was told the outcome. Confidential registers, such as staff exposure incidents, can only be seen by owners, managers and the person involved.
No. It works for GP and specialist practices, solo or group. Everything except the inspection checklist works the same in any doctor’s practice. So far the OHSC has only published an inspection tool for GP practices, so the checklist follows that one. We’ll add a specialist checklist when the OHSC publishes one.
Your ten set-up answers already leave out the measures that don’t apply. If one still doesn’t fit, the owner can switch it off. We warn you first, because inspectors still score every measure that applies to you.
Yes. Anyone in your practice can suggest one in the app, and back other practices’ ideas. You’ll see what we’re planning and building, and the most-wanted become new modules.
Yes. A certificate lasts four years, and follow-up inspections can come sooner. Recording checks every day is what keeps you ready for the next one.
Set it up this afternoon, and tomorrow you’ll know exactly where your practice stands. Every day after that adds to the records your inspector will ask for.
